Cloud Storage Policy

Kapwing stores uploaded files and AI-generated assets in your workspace's Media Library. This article explains how storage limits work, what counts toward your quota, and what to do if you're running low.

Note: Storage limits will be enforced starting June 1st, 2026. After this date, if your workspace is above the storage limit, you will not be able to upload new assets until you free up space or upgrade your plan.

Note: Storage limits apply per workspace, not per individual user.

What Counts Toward Your Storage?

The following assets count toward your workspace's storage quota:

  • Files you upload (videos, images, audio)
  • Assets generated using Kapwing's AI tools
  • Optimized versions of your media

The following do not count toward your storage quota:

  • Text-to-speech audio layers
  • Voice clones
  • Stock assets from Kapwing's built-in library

Managing Your Storage

You can view and manage your assets in the Media Library, accessible from both the editor and your Workspace settings.

To free up space:

  • Open the Media Library from the editor or your workspace.
  • Sort or filter assets to find files you no longer need.
  • Click the trash icon to delete an asset.

Important: Deleting an asset removes it from all projects it appears in. This action cannot be undone, and the file will need to be re-uploaded to be usable again.

Storage Warnings

Kapwing will notify you as you approach and reach your storage limit:

  • Warning shown — 90% used: 
  • You'll see a prompt in the editor and workspace view to clean up storage or upgrade your plan.
  • Uploads blocked — 100% used: 
  • New uploads will be prevented. You'll need to delete existing assets or upgrade before uploading again.

What Happens When You Delete a Project?

When you delete a project, any assets that exist only in that project are also deleted from your storage. Assets shared across multiple projects will not be removed.

If an asset is not linked to any project for 30 days, it will automatically be removed from your storage. This helps keep your workspace tidy and within your quota.

Upgrading Your Storage

Frequently Asked Questions

Can I recover a deleted asset?

No. Once an asset is deleted, it is permanently removed from our database and cannot be recovered. Make sure you've downloaded any files you want to keep before deleting them.

Does my team share a single storage quota?

Yes. Storage is allocated per workspace, so all members of your team share the same pool of storage.

Who can delete assets in a team workspace?

Any workspace member can currently delete assets. We recommend coordinating with your team before removing shared files, as deletions affect all projects that use that asset.

Where can I see how much storage I've used?

Go to Workspace > Media Library to see a breakdown of your current storage usage.
